A first draft, written by the developer rather than a solicitor. The data controller name and address are missing and must be added, and the sub-processor list needs checking against what is actually in use at launch.
This is a short policy because there is very little to describe. SoloWork keeps your work on your own machine, so almost none of it reaches us.
What we hold
Everything we store about your account, in full. Visits to this website are counted separately and anonymously, which is covered under Cookies and analytics below.
- Your email address and name — so we can identify your licence and contact you about it.
- A hash of your password — argon2id. We cannot read your password and could not tell you what it is.
- Your subscription — the plan, whether it is paid, and when it renews.
- Which computers use your licence — an anonymous per-installation identifier, the platform, and the computer’s own name so you can tell your machines apart when freeing a seat.
- A record of licence checks — when a device asked, and what we answered, so that “it signed me out” can be answered with a fact.
What we never hold
No clients. No projects. No invoices, quotes, expenses, time entries, notes, documents or files. None of it is sent anywhere, and there is nowhere on our side for it to go. The app’s own sign-in screen makes this promise and this policy exists partly to keep it honest.
Your work lives in a folder you chose, on your machine. If we vanished tomorrow it would all still be there.
The AI assistant
The assistant runs your own installation of Claude Code, on your own Anthropic subscription. Anything you ask it goes from your machine to Anthropic under your agreement with them — it does not pass through us, and we never see it. We hold no API key and pay nothing for the usage.
Payments
Payment is handled by Stripe as merchant of record. Card details go to Stripe and never touch our systems. We receive only a customer reference and a subscription status. Stripe’s own privacy policy covers what they hold.
Who else processes it
- Vercel — hosts this website and the licence API, and counts page views through Vercel Web Analytics.
- Neon — the database, hosted in London.
- Stripe — payments, as merchant of record.
- Resend — sends account emails: confirmation, password resets.
- GitHub — hosts the installer you download.
How long we keep it
For as long as you have an account. Ask us to delete it and we delete the account, its licence, and the devices attached to it. Records Stripe must keep for tax and accounting purposes stay with Stripe under their own retention rules.
A device that has not checked in for 90 days is removed automatically, releasing its seat.
Cookies and analytics
One cookie, to keep you signed in to this website. There is no advertising and no third-party tracking, and nothing follows you to any other site — which is why there is no cookie banner asking you to accept anything.
We do count visits. Vercel Web Analytics records that a page was viewed, roughly where in the world from, and what kind of device and browser it was — so we can see which pages are worth writing and which are ignored. It sets no cookie, stores nothing on your machine, and creates no identifier that can be followed between visits or across sites. We cannot tell who you are from it, and it is not joined up with your account.
Your rights
Under UK GDPR you can ask for a copy of what we hold, ask us to correct it, or ask us to delete it. Email support@solo-work.online and we will do it. Given the list above, a copy of your data is a short email.
You can also complain to the Information Commissioner’s Office at ico.org.uk.
